About these terms

These terms explain how we handle information provided when your organisation uses our evaluation tools - our skills scan, which helps assess your people's current skills (the "Services"). By accepting these terms you're agreeing to what's set out here on behalf of your organisation.

Our evaluation tools help you and us understand your organisation's skills gaps, capability needs, and priorities. We want to be clear about how information provided through the Services is used, protected, and what we'll never do with it.

What the Services are for

The Services are designed to inform: to help your people understand their own skills, and to help you see capability across teams. They're there to support decisions, with a person always reviewing the outputs and making the final call - not to make decisions for you.

Our skills scan uses AI-assisted technology to generate insights and outputs. We're transparent about this: where AI is involved in processing information or producing your results, we'll make that clear.

Running a skills scan

When we run the skills scan, you choose who takes part and when. By accepting these terms, you're confirming you're happy for the scan to go ahead on this basis. You stay in control throughout: we only ever invite the people you've asked us to, and won't start a scan or add anyone without your say-so. Because you choose who takes part, it's up to you to make sure it's appropriate to invite them.

Our commitments to you

Information provided through the Services is always treated as confidential. We restrict internal access to authorised Multiverse personnel only, and handle it with appropriate care. We keep any business data your organisation provides for a reasonable period after your last use, in line with our internal retention schedule.

Beyond that, here's what we'll never do:

  • Sell your data or share identifiable business information with third parties
  • Let any other customer or prospect see your business insights
  • Use your data for advertising or marketing
  • Use outputs or insights from the Services as a basis for our pricing, or to impose unfair commercial terms in any negotiation with you
  • Let one customer's data leak into another customer's experience
  • Collect biometric data through the Services
  • Allow any third-party AI provider we work with to train on your data

Using the Services responsibly

When using the Services, please don't:

  • Use the outputs as the basis for decisions about someone's employment - like hiring, promotion, pay, or performance management. They're built to help people learn and to help you understand skills at a team level, not to make or support those kinds of decisions
  • Submit or invite the submission of sensitive personal information (like health data or biometric data) - our skills scans aren't designed for that
  • Share confidential information belonging to a third party that you don't have permission to share
  • Try to reverse engineer or extract any of the technology behind the Services
  • Use the Services or their outputs to build or train a competing product
  • Present outputs from the Services as something they're not - for example, as a formal audit, certified assessment, or guaranteed result

How we use information provided

We use information provided through the Services to:

  • Run and deliver the Services for you
  • Improve our products and wider services
  • Understand how our products are being used
  • Create benchmarks across our customer base
  • Inform how we develop our services and commercial strategy

By accepting these terms, you give us permission to use information provided for all of the purposes above. Where that use is for benchmarking, product improvement, or strategic purposes, we do so only in aggregated or de-identified form - meaning it cannot be traced back to your organisation.

Your data and our IP

Our products and Services - including all the software, models, and frameworks behind them - belong to Multiverse. Any business information you provide stays yours. The insights, outputs, and analyses we generate through the Services are ours.

Personal data (like names and email addresses) is handled separately under our Privacy Policy.

Our outputs, and the limits of our responsibility

The Services are provided free of charge, for evaluation purposes, on an "as is" and "as available" basis. While we aim for accuracy, and we build these tools with real care, we don't promise that the Services or any output will be accurate, complete, uninterrupted, secure or error-free. Nothing produced through the Services constitutes legal, financial, or regulated educational advice, or a guarantee of any particular business or learning outcome.

Because the Services are a free evaluation tool, our liability in connection with them is limited to the fullest extent the law allows. We exclude all warranties, conditions, and representations not expressly set out in these terms, and we won't be liable for any indirect, special, or consequential loss, or for any loss of profit, revenue, business, contracts, goodwill, or data, however arising. Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that can't be limited or excluded under the law.

General terms

These terms, together with our Privacy Policy, are the entire agreement between us about the Services, and replace any prior discussions, proposals, or materials: including anything said by our sales team in the course of arranging the skills scan. You confirm that you haven't relied on anything outside these terms in deciding to use the Services.

We may update, pause, discontinue, or restrict access to any of the Services at any time, for any reason, without liability to you. If we make material changes to these terms, we'll give you reasonable notice. Continuing to use the Services after an update means you're accepting the revised terms.

We may rebrand or rename any of our evaluation tools from time to time. If we do, these terms still apply - a name change doesn't change how we handle your data.

These terms are between you and Multiverse only, and nobody else can enforce them under the Contracts (Rights of Third Parties) Act 1999. We may transfer or assign our rights and obligations under these terms to another Multiverse group company, or in connection with a sale of our business; you may not transfer yours without our written consent. If we don't act on a breach straightaway, that doesn't mean we've given up our rights, and if part of these terms turns out to be unenforceable, the rest still stands.

These terms, and any dispute arising out of or in connection with them, are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
