These terms explain how we handle information shared through your Multiverse career guidance 1:1  sessions including through calls and any written notes or reflections you share with your advisor as part of that process (together, the “Services”). By taking part, you’re agreeing to what’s set out here.

These sessions should not be logged as contributing to your OTJ hours.

What these sessions are

A career guidance 1:1 session is a confidential space for you to reflect on your development, explore your goals, and get support from an Level 6 qualified career advisor. Sessions are separate from your apprenticeship training and assessment — they’re not a taught element of your programme, they’re not assessed, and they do not count towards your off-the-job hours.

The Career Advisor will provide fully independent, objective, and impartial advice centred exclusively on your best interests and future long-term goals.

Confidentiality and what your employer can see

What you discuss in a career guidance 1:1 session  is confidential. Your career advisor will not share the content of your sessions with your employer without your consent.

There are limited exceptions to this — as with any professional coaching relationship, the advisor may share information where there is a serious risk to your safety or the safety of others, or where we are required to do so by law. Outside of those circumstances, your conversations stay between you and the advisor.

Your employer will be aware that 1:1 sessions are offered to you and are taking place as part of your Multiverse programme, but they will not receive reports, summaries, or any details of what was discussed.

Session notes and records

Your career advisor may transcribe your session to help them support you effectively across sessions and maintain accurate notes. These notes are held securely and are accessible only to your career advisor and authorised Multiverse personnel.

Recording

Sessions are not routinely recorded. If a session is ever recorded — for example, for quality or supervision purposes — your career advisor will tell you before the session begins and ask for your consent. You can decline without any impact on your session.

How we use information

We use information from career guidance sessions to:

  • Deliver your career guidance sessions and support your career advisor in preparing for and following up on sessions
  • Maintain continuity across your career advisor relationship — so your career advisor can pick up where you left off
  • Improve the quality and design of our career guidance service
  • Understand how career guidance is being used across our programmes
  • Inform how we develop our services and the support we offer to apprentices

By taking part in career guidance 1:1 sessions, you give us permission to use information for the purposes above. Where that use is for service improvement, programme design, or understanding usage patterns, we do so only in aggregated or de-identified form — meaning it cannot be traced back to you individually.

What we’ll never do

  • Share identifiable information from your career guidance 1:1 sessions with your employer
  • Sell your data or share it with third parties for commercial purposes
  • Use what you share in coaching for advertising or marketing
  • Use career guidance  information as a basis for decisions about your apprenticeship assessment or outcomes
  • Make a significant decision about you based solely on AI — there is always a human in the loop

What we ask of you

To get the most from career guidance 1:1 sessions and to keep sessions safe and productive, please:

  • Don’t share sensitive personal data about you or others in your sessions — including health information, financial details, or any confidential information belonging to a third party that you do not have permission to disclose. 
  • Don’t present anything from your career guidance 1:1 sessions as a formal assessment, qualification, or guaranteed outcome
  • Let your career advisor know if something isn’t working for you — the relationship works best when it’s honest

How long we keep your data

We retain career guidance notes and session records for a reasonable period after your programme ends, in line with our internal data retention schedule. For further information on how we handle your personal data, please view our Privacy Notice. 

A few other things

We may update these terms from time to time. If we make material changes, we will give you reasonable notice. Continuing to use the coaching service after an update means you’re accepting the revised terms.

These terms are governed by the laws of England and Wales.
